Install, configure, and use BounceIQ email validation for HubSpot.

Introduction

BounceIQ automatically validates the email addresses on your HubSpot contacts so your team can stop sending campaigns to bad data and protect your sender reputation. Once installed, it runs continuously in the background and surfaces results directly inside HubSpot.

BounceIQ helps you:

  • Identify invalid or undeliverable email addresses
  • Detect common typos (like "gmial.com" instead of "gmail.com")
  • Flag catch-all mail servers that accept any address
  • Maintain a clean contact database
  • Improve email deliverability

This guide walks through installation, configuration, day-to-day usage, and how to disconnect or uninstall the app.

Install the app

BounceIQ is installed directly from the HubSpot App Marketplace. No separate BounceIQ account needs to be created — a workspace is provisioned automatically the first time you install.

Step 1: Start the install from the Marketplace

From the BounceIQ listing in the HubSpot App Marketplace, click Install app. You'll be prompted to choose which HubSpot account to install it into.

Step 2: Review and approve the requested scopes

HubSpot will display a scope approval screen listing the permissions BounceIQ needs to operate. Review them and click Connect app to continue.

BounceIQ requests the following scopes:

  • crm.objects.contacts.read — read contact records so emails can be validated
  • crm.objects.contacts.write — write validation results back to contacts
  • crm.schemas.contacts.write — create the custom properties that store validation results
  • crm.lists.read — read existing segments to avoid duplicates
  • crm.lists.write — create the dynamic segments for flagged contacts

Step 3: Choose your billing mode

After authorizing, you'll land on BounceIQ's onboarding screen and be asked to choose how to handle contact limits:

  • Hard Limit — BounceIQ pauses checks once you hit the contact limit. The free tier (up to 100 contacts) works with this mode — no payment method required.
  • Auto-Upgrade — BounceIQ seamlessly moves you to the next plan as your database grows, with prorated billing. Requires a payment method.

Step 4: Add the BounceIQ card to your contact views

To see validation results on your HubSpot contact records:

  1. In HubSpot, open account settings and go to Integrations → Connected Apps.
  2. Find and click BounceIQ.
  3. Open the App cards tab.
  4. Click Manage locations.
  5. Add the BounceIQ card to the contact views where you want it visible.

Installation is now complete. The validation pipeline begins running automatically against new and updated contacts.

Configure the app

Open BounceIQ from the Connected Apps page in HubSpot, or click the settings link on the BounceIQ dashboard, to access configuration.

Contact properties

When enabled, BounceIQ creates four custom contact properties in HubSpot to store validation results:

  • Email Check Status — overall validation result
  • Email Canonical Suggestion — suggested correction for typos
  • Email Check Last Run — timestamp of the last validation
  • Email Check Reason Codes — technical details behind the result

These properties are created automatically on enable and can be used in workflows, segments, and reports just like any native HubSpot property.

Dynamic segments

When enabled, BounceIQ creates three dynamic HubSpot contact segments that stay in sync as contacts are validated:

  • BounceIQ: Typo fix suggested — contacts with fixable typos
  • BounceIQ: Undeliverable — invalid or non-existent mailboxes
  • BounceIQ: Indeterminate — unable to fully validate

Dynamic segments require the Contact Properties setting to be enabled first.

Live deliverability checks

Optional real-time checks against recipient mail servers. When enabled, BounceIQ:

  • Connects to the recipient's mail server
  • Verifies whether the specific mailbox exists
  • Detects catch-all servers that accept any address
  • Caches results for 1 hour to avoid repeated checks

Note: Live checks are disabled by default. Enable them only where you're comfortable initiating SMTP handshakes with recipient mail servers. BounceIQ never sends email as part of this check.

Validate existing contacts

Use the Validate Unchecked Contacts button in settings to queue validation for contacts that:

  • Were imported before BounceIQ was installed
  • Were missed by webhooks
  • Have never been validated

Billing and plan

View your current plan, contact usage, and overage mode from the billing area of the BounceIQ dashboard. You can switch between Hard Limit and Auto-Upgrade, change plans, or manage payment details at any time.

Use the app

Automatic validation

Once installed, BounceIQ validates contacts automatically. Every time a contact is created or its email address is updated in HubSpot, BounceIQ:

  1. Checks the email syntax is valid
  2. Looks up the domain's MX (mail server) records
  3. Compares against known email providers (Gmail, Outlook, etc.)
  4. Detects likely typos and suggests corrections
  5. Optionally runs a live deliverability check (if enabled)

The BounceIQ card on contact records

Once you've added the BounceIQ card to your contact views, it appears in the right sidebar of any contact record. The card displays:

  • Status — overall email health (OK, Typo fix suggested, Undeliverable, and so on)
  • Suggested fix — if a typo is detected, the corrected email address
  • Last checked — when the email was last validated
  • Reason codes — human-readable detail behind the result

Manual actions

From the BounceIQ card, you can:

  • Recheck email — trigger a fresh validation, useful after correcting an address or when investigating an indeterminate result.
  • Dismiss suggestion — if a suggested typo fix is wrong, dismiss it. BounceIQ remembers the decision for that domain pair and won't flag it again.

Understanding validation results

Every check produces one of the following outcomes:

OK

Email appears valid. The domain has mail servers and no issues were detected.

Typo fix suggested

A likely typo was detected (e.g. "gmial.com" vs "gmail.com"). The suggested correction is displayed and can be used to update the contact.

Valid alias

Email uses an alias domain (like googlemail.com) that maps to a main provider. The email is expected to work.

Undeliverable

Email is invalid or the mailbox doesn't exist. Common causes: syntax errors, non-existent domain, or mailbox rejected by server.

Catch-all

The mail server accepts all email addresses for this domain, so BounceIQ can't confirm the specific mailbox exists. The domain is valid, but the address may or may not work.

Indeterminate

Unable to fully validate. Usually caused by temporary server unavailability, greylisting, or other protective measures.

Disconnect the app

If you want to stop BounceIQ from processing your contacts without uninstalling it completely, disable its core features from the BounceIQ settings panel:

  1. Open BounceIQ from HubSpot's Connected Apps page.
  2. Toggle off Contact Properties and Dynamic Segments.
  3. Toggle off Live deliverability checks if enabled.

This stops BounceIQ from writing any new data to your HubSpot account. Existing properties and segments remain in place until you choose to remove them. To fully remove BounceIQ, uninstall the app — see below.

Uninstall the app

Uninstall BounceIQ from HubSpot at any time:

  1. In HubSpot, open account settings and go to Integrations → Connected Apps.
  2. Find BounceIQ in the list.
  3. Click the Actions menu and select Uninstall.
  4. Confirm the uninstall when prompted.

Uninstalling revokes BounceIQ's OAuth access to your HubSpot portal. No further validation checks, writebacks, or segment updates will occur.

Data impact of disconnecting and uninstalling

In your HubSpot account

  • Custom contact properties (Email Check Status, Canonical Suggestion, Last Run, Reason Codes) are not automatically removed. Any existing values on contacts remain, and the properties stay available in HubSpot. You can delete them manually from HubSpot's property settings if you no longer need them.
  • Dynamic segments created by BounceIQ (Typo fix suggested, Undeliverable, Indeterminate) remain in HubSpot after uninstall. They will stop updating, since the properties they depend on are no longer being written to. Delete the segments manually from HubSpot if you no longer need them.
  • Contacts themselves are never modified or deleted by BounceIQ — only validation-related properties are written.

In BounceIQ

  • OAuth tokens for your portal are invalidated immediately.
  • Your BounceIQ workspace and its cached contact records are retained for a short period to allow reinstall-without-data-loss, then deleted.
  • Active subscriptions continue to follow their normal billing cycle — contact support if you need a subscription cancelled or prorated after uninstall.

Data that is never retained

BounceIQ does not retain SMTP probe transcripts, email bodies, or any data from HubSpot objects other than contacts. Only the contact fields needed for validation (email, name, HubSpot object ID, timestamps) are processed.

Frequently asked questions

How often are contacts validated?

Contacts are validated automatically when they're created or when their email address changes. You can also trigger validation manually using Recheck on the contact card or Validate Unchecked Contacts in settings.

What happens to contacts with invalid emails?

BounceIQ never modifies or deletes contacts. It writes validation information to custom properties and, if enabled, adds them to dynamic segments. You decide how to handle the results in your own workflows.

Why do I see "Indeterminate" results?

Some mail servers use greylisting, temporary failures, or other protective measures that prevent full validation. The email may still be valid — the server simply won't confirm it. Live checks can improve accuracy in these cases.

How do I validate existing contacts?

Open the BounceIQ settings panel and click Validate Unchecked Contacts. This queues every contact that hasn't been checked yet, including those imported before BounceIQ was installed.

Can I disable validation for specific contacts?

Not on a per-contact basis. To stop all validation for your portal, toggle off the settings under Disconnect the app.
